Job Purpose

The Executive Assistant plays a pivotal role in providing comprehensive administrative support to our Director of Revenue Cycle Management (RCM). This position is responsible for facilitating the director’s effectiveness by managing administrative tasks, coordinating client meetings, and assisting with Microsoft Office applications to ensure smooth operations within the director’s office.

Duties and Responsibilities

Assisting Director of RCM:

  • Schedule and coordinate professional activities.
  • Track all company projects and tasks.
  • Update the director’s calendar.
  • Make notes from meetings regarding activities in systems.
  • Arrange travel and accommodations.
  • Coordinate calls and meetings.

Internal/Partner Liaison:

  • Update yearly and quarterly goals from weekly L10 meetings.
  • Coordinate Town Halls, making notes and distributing summaries on behalf of the director.
  • Coordinate department meetings.
  • Facilitate communication between internal stakeholders on behalf of the director.

Administrative Tasks:

  • Support the director with client meetings and logistics.
  • Develop and maintain Excel spreadsheets to track various metrics, budgets, and project timelines.
  • Utilize Excel functions and formulas to analyze data and generate reports for decision-making purposes.
  • Create and format PowerPoint presentations for internal meetings, client pitches, and conferences.
  • Collaborate with team members to gather and input data accurately into PowerPoint documents.
  • Attend client meetings alongside the director, taking notes, and capturing action items and follow-up tasks.
  • Compile and distribute meeting minutes to relevant stakeholders, highlighting key discussion points and decisions.

Qualifications

Technical Skills:

  • Proficiency with Microsoft Office Suite (Excel, PowerPoint, Word, Outlook).
  • Experience with Trello (or similar project management tool).
  • Strong online research skills.

Specific Competencies:

  • Creative writing skills.
  • Strong management and organizational skills.
  • Proficient in mathematics for budget and metric tracking.
  • Excellent organizational and multitasking abilities.
