Relocation for this position is not required.SUMMARY The Administrative Specialist is responsible for administrative support to AESP and the CEO. Duties to include serving as a receptionist and performing various office duties, supporting the AESP Board, scheduling of meetings for committees and the AESP board, assisting with management of AESP member data and other duties as assigned. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Administrative DutiesAnswers AESP main phoneline and disseminates calls and/or messagesUpdates and maintains company calendarSends meeting scheduling polls and schedules on calendarsAssist with AESP staff travel arrangements as needed.Prepares responses to correspondence containing inquires and manages incoming email
[email protected], including opt outs and out of office notificationsFiles/scans corporate documents, records and reportsTrack staff time off reportingVarious administrative duties as assigned FinancePulls paid receipts and matches to daily finance reportShare deposits summary with finance and membership Board ManagementSends polls and schedules meetings (interviews, staff, committees, Board and other)Supports AESP Board electionsAssists CEO with necessary preparation for board meetings, including but not limited to scheduling meetings, track attendees, audit board member dues status, and prepare tent cardsDistributes the COI (Conflict of Interest) and Code of Conduct each year to staff and Board membersCompiles monthly updates and sends to CEO SUPERVISORY RESPONSIBILITIES None QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. LANGUAGE SKILLS Ability to think logically using common sense. Ability to communicate clearly and succinctly with colleagues and members as well as speakers and moderators. Ability to speak effectively before groups of customers or employees of the association. MATHEMATICAL SKILLS · Able to apply concepts such as fractions, percentages, ratios and proportion to practical situations. REASONING ABILITY Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.Ability to define problems, collect data, establish facts and draw valid conclusions.
