Basic PurposeThe Event Center Manager is responsible for overseeing various aspects of the ODOT Training Center's operations, ensuring seamless execution of events, maintaining the facility, driving long-term improvements in the operations, and ensuring stellar customer service.Typical FunctionsSupervise and coordinate maintenance activities to ensure the event center is in optimal condition.Develop and implement a preventive maintenance schedule for equipment, furnishings, and facilities. Respond promptly to repair needs, coordinating with external service providers when necessary.Manage the booking process for meetings, conferences, and events, ensuring efficient use of space. Communicate with clients to understand their requirements and coordinate event logistics. Oversee the scheduling of events and resolve conflicts in the event calendar.Develop and manage the event center's operational budget. Monitor expenses, identify cost-saving opportunities, and ensure budget compliance. Purchase supplies and process claims for payment.Collaborate with event organizers to understand room setup requirements. Coordinate with the setup team to ensure meeting spaces are configured per client specifications.Provide beverage services for meetings and events, coordinating with catering staff or external vendors.Develop and maintain a comprehensive operations manual outlining standard procedures and protocols. Update the manual regularly to reflect any changes in processes or facility management.Manage audio and video equipment, ensuring functionality and availability for events. Coordinate with technical staff or external vendors to provide audiovisual services or repairs.Recruit, train, and supervise event center staff, including event coordinators, setup crews, and cleaning personnel. Conduct performance evaluations and provide ongoing training and development.Develop a long-range plan for event center upgrades, considering technological advancements and industry trends. Plan and budget for replacing furnishings and equipment to maintain a modern and attractive facility.Level DescriptorAt this level, employees are assigned responsibilities involving the direction or management of a major program, division, unit, or function, which is large in size and scope. Responsibilities include program development, direction, planning, and evaluation, and organizing and coordinating program services and activities. Incumbents will be given administrative freedom to plan, develop, and organize all phases of the work necessary for its completion within broad program guidelines.Education And ExperienceEducation and Experience requirements at this level consist of a bachelor's degree and four years of professional experience in business or public administration, including one year in a supervisory or administrative capacity; or an equivalent combination of education and experience, substituting one year of technical administrative* or professional experience in business or public administration for each year of the required education. One year of technical administrative* experience may be applied for one year only of the required experience. *Technical administrative experience would include highly complex clerical work gained under the direct supervision of a professional supervisor or manager.
