Business/Executive Assistant to CEO

Are you a reliable personality with a positive result-oriented attitude?
We are looking for a Business/Executive Assistant to the CEO of an IT company to perform various administrative and personal tasks in a well-organized manner.
This position offers a fantastic chance to immerse yourself in German business culture and acquire significant experience within a European IT firm. You will handle a variety of administrative tasks connected to IT business development and communication. Your efforts will enhance business efficiency by offering timely support to the CEO, serving as her reliable “right hand” and main point of contact.
Requirements:
- At least 3 years of proven work experience on administrative positions (desirably as a Personal/Business/Executive Assistant, or similar role)
- Ability to define issues, collect data, establish facts, and draw valid conclusions, summarize only the most important information
- Outstanding organizational and time management skills
- Familiarity with office services (Outlook, Microsoft Office, Notion, Asana, AI tools etc.)
- Stress resistance and getting things done approach
- Excellent verbal and written communication skills
- Ability to multitask and prioritize daily workload
- Discretion, confidentiality, and diplomacy
- Patience, tact, and a keen eye for detail
- A creative mind for problem-solving
- “Find a solution and take responsibility” mindset
- Excellent knowledge of MS Office
- Sense of humor is essential
- Fluent in English and Russian
- Ability to keep track of multiple projects, provide “a helicopter view”
- Advanced typing, note-taking, and recordkeeping skills
- German B2-C1
- English C1
Nice to have:
- Ideally matching personality type: ISFJ / ESFJ / harmonious ISTJ
Responsibilities:
- Act as the point of contact among CEO, employees, clients, contractors, external partners
- Manage CEO’s dynamic and flexible calendar, set up internal and external meetings prioritizing them
- Help with planning personal tasks: medical checkouts, training & education, kids clubs, household chores, booking, etc.
- Control over timely and effective CEO’s participation in meetings, take short minutes/follow-ups
- Manage and prioritize information flow in a timely and accurate manner
- Screen and direct phone calls and distribute correspondence
- Coordinate task performance with other departments via E-Mails and Teams
- Act as an intermediary for clients, and contractors via E-Mails, Telegram, WhatsApp
- Participate in meetings with clients and contractors on behalf of CEO
- Make travel and accommodation arrangements
- Preparing correspondence on the CEO’s behalf — emails, presentations, reports
- Searching and putting together all the necessary data in well organized manner
- Keep a track record of incoming inquiries on LinkedIn and answer them if necessary
