POSITION DESCRIPTION:
Purpose / Purpose:
The Assistant Field Coordinator supports the Field Coordinator in the performance of his/her functions of organization representation, program coordination, strategy preparation and planning of Solidarites International program activities in his/her area of responsibility, interaction with other humanitarian organizations, team management, as well as in matters of security and humanitarian monitoring.
The execution of these tasks requires strict confidentiality on the part of the Assistant Field Coordinator.
The Assistant Field Coordinator(s) is strictly prohibited from disclosing information related to Solidarites International and its activities without the prior permission of the Field Coordinator.
In addition, the Assistant Field Coordinator participates in the determination of activities security measures to be implemented at the base level in cooperation with the Field Coordinator, as well as in their further dissemination after approval.
Primary Responsibilities:
Security
Collect information within the Field Coordinator's area of responsibility by attending security briefings with the Field Coordinator or, as necessary, in place of him/her.
Conduct security checks to approve team trips to field locations.
Analyze the information received and inform the Field Coordinator.
Prepare a weekly security pack and send it to the Field Coordinator.
Establish informal contacts and a network of interaction to collect and verify various information.
Maintain an up-to-date list of security contacts in the area of operation.
Coordinate weekly security briefings.
Conduct contextual and security briefings for newly arrived expatriates together with Polev coordinator.
Representation
On behalf of the Field Coordinator, represent Solidarites International during humanitarian and security coordination meetings.
Ensure communication of the position of Solidarites International during meetings in accordance with its mandate and programs.
Regularly visit places of implementation of Solidarites programs International.
Perform humanitarian monitoring in the area of activity to timely identify actual needs within the mandate of Solidarites International.
Control the activities of programs implemented in the area of intervention by analyzing reports on assessment of needs, interventions and monitoring.
Coordination
Prepare minutes of meetings in which the Field Coordinator participates.
Prepare a weekly situational report on context and security.
Synthesize the weekly situational report and send it to the Field every Monday afternoon coordinator.
In the absence of the Field Coordinator, coordinate the weekly base meeting.
Prepare base meeting minutes.
Present an overview of the security context at the beginning of each weekly base meeting.
WHAT WE EXPECT FROM CANDIDATES:
Education:Master's degree in international relations, political science or journalism. A background in law or legal disciplines, particularly related to compliance issues, would be an added advantage.
Experience: At least 2 years of security experience would be a significant advantage; experience working in an international non-governmental organization (INGO) is an added advantage. Any professional experience in the field of communications and external representation is desirable.
Languages:Fluency in Ukrainian, knowledge of English at B2 level or higher.
IT:Good command of Microsoft Office programs.
Qualifications:
Flexibility and ability to adapt to a dynamic and rapidly changing operating environment.
Ability to effectable to work in a team and cooperate with different departments.
Systematic and attentive to details in completing tasks and preparing reports.
Good communication skills (oral and written).
Ability to prioritize tasks and work under limited time and increased workload.
Soft skills:Confidence in oneself to build a network of security contacts and the ability to inspire confidence among employees to effectively manage security issues. Excellent communication skills, flexibility and diplomacy, the ability to work autonomously.
EMPLOYMENT CONDITIONS:
Place of work:The position is based in the city of Kharkiv with possible business trips to Dnipropetrovsk, Kharkiv, Mykolaiv and Kherson regions.
Contract:Term employment contract (in accordance with legislation of Ukraine).
Employment type:Full time.
Salary:€1,980 gross (before tax, paid in hryvnias according to the monthly exchange rate of the European Commission bank).

DESCRIPTION OF THE POSITION
Goal / Purpose
The Field Coordinator Assistant assists the Field Coordinator in his/her representation, program coordination, strategy preparation and programming for Solidarites International in his/her intervention zone, coordination with other humanitarian participants, team management and security and humanitarian monitoring.
These tasks entail strict confidentiality on the part of the Assistant Field Coordinator.
It is strictly prohibited for the Field Coordinator Assistant to disclose information concerning Solidarites International and its activities without prior authorization from the Field Coordinator.
In addition, the Field Coordinator Assistant participates in the specification of security measures to be undertaken at the base level in collaboration with the Field Coordinator, as well as their post-validation circulation.
Key responsibilities:
Security
Collect information within the Field Coordinator’s domain of responsibility by attending security briefings with – or in place of
–
the Field Coordinator.
Carry out security checks for the clearance of team departures out into the field.
Analyze information and inform the Field Coordinator.
Make the weekly security pack and send it to the Field Coordinator.
Establish informal ties and a network of contacts enabling the collection and verification of diverse information.
Maintain an updated list of security contacts in the zone.
Coordinate the weekly security briefing.
Run the contextual and security briefing for new expatriates, in conjunction with the Field Coordinator.
Representation
Under the delegation of the Field Coordinator, represent Solidarites International during humanitarian and security coordination meetings.
Ensure that Solidarites International’s message is conveyed during meetings in accordance with its mandate and programs.
Regularly visit Solidarites International’s intervention sites.
Humanitarian monitoring
Communicate between the local and/or international NGOs in accordance with the partitioning of contacts decided with the Field Coordinator.
Under the delegation of the Field Coordinator, attend meetings under his/her direct responsibility.
Participate in the drafting of Solidarites International’s intervention strategy in the zone (especially via annual programming) and suggest program orientations in liaison with the Field Coordinator and the other departments.
Humanitarian monitoring in his/her intervention zone to anticipate as early as possible the pertinent needs to be addressed within Solidarites International’s mandate.
Monitor the activities in the programs implemented in his/her intervention zone by comparing the evaluation, intervention, and monitoring reports.
Coordination
Draft minutes for the Field Coordinator for each meeting he/she attends.
Draft the weekly situation report for the context/security section.
Compile the weekly situation report and send it each Monday afternoon to the Field Coordinator.
In the absence of the Field Coordinator, coordinate the weekly base meeting
Draft the minutes for base meetings.
Present the security context at the beginning of all weekly base meetings.
PROFILE FORSAKEN
Studies: Master's Degree in International Relations or Political Science, Journalism. A background in law or legal studies is considered an asset, particularly for compliance-related topics.
Experience: At least 2 years of experience in security will be strongly appreciated, and experience within an INGO is an additional asset. Any professional experience related to communication and external representation.
Language: Fluent in Ukrainian, English proficiency at the B2 level or higher.
IT: Good knowledge of Microsoft Office.
