BATUKRAINE IS LOOKING FOR A TRADE MARKETING DEPARTMENT ASSISTANT
LOCATION: Kyiv
ROLE POSITIONING AND OBJECTIVES: The trade marketing department assistant provides full and comprehensive assistance in daily activities line manager and sub-department of trade marketing (division).
Key responsibilities:
- reception and distribution of telephone calls;
- maintenance of internal documentation;
- reception and registration of incoming and outgoing correspondence;
- maintenance of databases, preparation of reports;
- organization of preparation of work meetings, meetings and business meetings (minutes of meetings, logistics organization, etc.);
- organization of business trips (ordering tickets, booking hotels, ordering taxis, processing documents);
- maintaining contacts with the supplier (creating purchase orders (PO));
- planning the budget for the needs of the department and office work;
- creating requests for payment of utility bills, washing, cleaning, checking accounts;
- organizing the process of purchasing the Company's products in accordance with internal policies and procedures;
- coordinating the daily work of the office (regular replenishment of stationery, office supplies and coordination of their delivery);
- providing administration of contracts (lease of office premises, cleaning services;
- Control of the validity of contracts and their timely extension needs;
- work with the Company's accounting systems in accordance with the Company's internal policies and procedures (1-C, SAP, Outlook, Teams) and others;
- ensuring the operation of the office (reception of Company visitors, organization of the process of repair and service of office equipment and copiers in the office;
- keeping records of office supplies and their timely ordering) ;
- monitoring compliance safety policies (quarterly fill out logs on occupational safety and fire safety, measure the microclimate and insulation resistance in the office, carry out training evacuation in offices);
- fulfilment of the requirements of regulations on occupational safety, fire safety, sanitation and occupational hygiene;
Key requirements:
- higher education,
- structuredness,
- ability to organize processes and people,
- responsibility, attentiveness, punctuality,
- good computer skills (Word, Excel, Power Point, Internet, 1C Accounting), fluency in the Ukrainian language,
- knowledge of English - desirable,
