POSITION: Assistant of the department for working with key customers (the position is suitable for veterans, people with disabilities, and representatives other sensitive groups)
FUNCTION: Marketing
LOCATION: Kyiv
Key responsibilities:
Working with SAP:
- Creation and support of payment requests (Purchase Orders), updating amounts, updating payment plans in files.
- Conducting MIGO operations after final accounting approvals.
- Registration of new suppliers (vendor creation) and updating their details.
Working with payment documents:
- Checking payment documents before signing (dates, signatories, contract numbers, formatting).
- Controlling the process of signing payment documents in systems, uploading signed documents.
- Communicating with counterparties regarding payments, tax invoices, accounting clarifications.
- Organization signing of paper payment documents, scanning, sending to clients and transfer to the accounting department.
- Monitoring the timeliness of payments.
Working with M-Files and contractual documentation:
- Formation and support of additional agreements, appendices 2, marketing contracts - uploading to the system, control of approval, signing, archiving.
- Registration and transfer of signed documents in accounting department.
Documentation support:
- Formation of acts of installation/return of equipment, signature control and archiving.
- Preparation of official letters to counterparties on behalf of lawyers or accounting department.
Working with planograms and specifications:
- Update of intermediate planograms to the current assortment (updating SKUs, names, photo).
- Preparation of specifications for new SKUs in accordance with the requirements of counterparties.
Interaction with internal departments:
- Providing reporting information for finance and accounting (updating signatories, powers of attorney, payment data).
- Collection of data from the NRKA manager, preparation of reports upon request.
Requirements for candidates:
Education and experience:
- Higher education (economics, finance, accounting, management or related areas).
- Work experience of 1-2 years in administrative, financial or analytical positions (preferably ininternational company, FMCG or trade marketing).
- Practical experience of working with SAP, M-Files, Vchasno, M.E.Doc or similar systems will be a great advantage.
Professional skills:
- Proficient in Excel, Word, Outlook, Google Workspace.
- English language at B1 level (Intermediate)
- Understanding principles document flow, payment processes, accounting of contracts.
- Attention to details, ability to work with a large amount of data.
- Communication skills with internal customers and counterparties.
- Ability to control several parallel processes (multitasking, prioritization).
Personal qualities:
- Responsibility, structure, focus on result.
- Willingness to work in a team and maintain clear communication between departments.
- High accuracy, systematicity, ability to meet deadlines.
Working conditions:
- work schedule 5/2 with flexible start and end of the working day (8-10 a.m. to 5-7 p.m.), short Friday until 3:00 p.m. if all tasks are completed;
- possibility of a hybrid work schedule;
- work involves constant verbal communication with colleagues;
- work involves constant use of a computer and work in accounting the Company's systems and requires a high level of attention and concentration.
