We are looking for an Administrative Specialist/Receptionist to join the Roche team, one of the world's leading pharmaceutical companies.

Your future tasks:

Administrative Specialist (60%)
- Assistance and support in purchasing goods/services for the Company's departments.
- Communication with suppliers of goods/services.
- Processing of invoices/acts for approval and signature.
- Processing and processing of contracts.
- Creation of purchase requisitions, control of further orders and received goods/services (Purchase req to Good Receipt).
- Preparation of invoices for payment.
- Entering information on invoices into the register of primary documentation.
- Checking the package of primary documents from suppliers, control of timeliness and correctness of registration documents.
- Drawing up acts of writing off commodity and material values on the basis of expense invoices.
- Receiving, forming, processing, scanning, archiving and storage documents.
- Prompt processing of internal and external inquiries.
- Support of the finance and accounting department.
- Performance of other duties and assignments within the scope of one's competence and specialization.


Receptionist (40%)
- Ensuring timely sending/receiving of mail and electronic correspondence.
- Answering incoming phone calls.
- Meeting guests and office visitors. Creation of applications in the system (in particular for parking).
- Registration of incoming and outgoing documentation, storage of originals/copies in appropriate folders.
- Organization of the transfer of documents for signature, control of the return of signed documents and their transfer to the responsible person for safekeeping.
-  Help with additional requests from colleagues.

Our expectations from candidates:

  • Sure mastery of MS Office. Knowledge or experience in Vchasno, MeDoc, SAP will be an advantage.

  • Education: finance, economics, accounting.

  • Proactivity, responsibility and promptness in the performance of duties.
  • Ability to work in multitasking conditions.

  • Organizational and communication skills, ability to work in a team.

  • Knowledge of the requirements of current legislation regarding primary documentation.

  • Understanding the peculiarities of the process of purchasing services and materials and their documentation. style="font-weight: 400">English language level: Intermediate.
